September 2020 Meeting

Understanding the importance of in-person meetings to the events and travel industry, the Old Dominion Chapter is planning to have this meeting in-person at the Virginia Crossings in September.  The chapter has also decided to waive the September meeting registration fee for our supplier partners to make attending easier and help relieve the strain on reduced budgets. 

Education Topic: Business Entertaining and Hosting Guests

The global business environment compels us to socialize and conduct business at the table or at socials more than ever before.  Executives at all levels find themselves hosting guests and conducting business in a variety of off-company or agency premises.  In this competitive atmosphere of opportunities, first-class hosting skills are a must.   We will review some must-haves to put in your toolbox when hosting.

Topics Include:

  • Determine the goal of the event – sit down meal, standup social or incorporate both
  • Rolls of the host/hostess; guest of honor/VIPs; and guests
  • Determining what venue or restaurant to use
  • How to select meals and beverages
  • Coordination with the “day of” manager and wait staff on table location, seating, and bill payment
  • How to incorporate flag displays
  • Gift giving – should you give a gift? when to give a gift and presentation of a gift?

After the session, attendees will:

  • Express an increased awareness of the importance of business protocols. The hotel has hand sanitizer and it will be available at the registration table and in the meeting room.
  • Have increased understanding of organizing business events
  • Have new ideas for event hosting toolbox.

Social Distancing for this meeting

We are glad to meet in person but will need everyone to follow social distancing protocols for our meeting.

  1. The meeting room will be set up for social distancing.
  2. The pre-function hallways are marked for social distancing
  3. We are encouraging everyone to bring masks. The hotel will have some available in case someone forgets.
  4. We will have a questionnaire we will ask everyone to complete at the door for Covid 2019 tracing.
  5. We ask that anyone that is not feeling well stays home and joins us at the next meeting
  6. We request anyone that may have been exposed in the weeks leading up to the meeting not attend.
